At Nourish With Ease, your privacy is important. This Privacy Policy explains how we collect, use, disclose, store, and protect your personal and sensitive information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

We also comply with the Notifiable Data Breaches (NDB) scheme and take steps to ensure your information is handled securely and transparently.

What personal and sensitive information we collect

Personal information

"Personal information" is information or an opinion about you that identifies you. For our services, this includes:

  • Full name and date of birth
  • Contact details (email, phone)
  • Payment information (processed securely via Stripe; card details are never stored by us)
  • Appointment and booking information
  • Telehealth session logs and communication history

Sensitive information

"Sensitive information" includes health or medical information and receives additional protection. For our services, this includes:

  • Medical history, diagnoses, and medications
  • Weight, dietary, and lifestyle information
  • Referral information from other healthcare providers
  • Consultation notes (including telehealth notes)

We only collect sensitive information when necessary for your care and with your consent.

How we collect information

We collect your information in a number of ways, including: online intake forms, questionnaires, and booking forms; email or phone communication; telehealth consultations via Google Meet; Cliniko and third-party booking platforms (e.g., Calendly, Google Calendar); notes taken during consultations; and cookies and website security logs (minimal, for site functionality; we currently use basic analytics tracking).

We aim to collect information directly from you wherever possible. In some circumstances, we may receive information from third parties, such as referring health providers. We will take reasonable steps to inform you when this occurs.

Why we collect your information

Your information is collected and used for the primary purposes of:

  • Providing virtual dietetic consultations
  • Creating treatment and nutrition plans tailored to you
  • Managing bookings, appointments, and communications
  • Maintaining accurate clinical and administrative records
  • Complying with legal, professional, and regulatory requirements
  • Internal quality assurance and business management
  • Processing payments via Stripe

We may also use your information for secondary purposes closely related to the primary purposes, where you would reasonably expect this. If receiving unwanted communication, you may unsubscribe from any marketing communications at any time.

How we store and protect your information

Digital storage

Your information will be stored securely using: Google Workspace (Docs, Sheets, Forms, Drive, Gmail), Google Keep / Google Notes, Cloudflare (website security and firewall logs), Stripe (payment processing; Nourish With Ease does not store card numbers), third-party booking platforms, and Cliniko.

All digital systems are password protected and use encryption where available. Access is limited to authorised personnel only.

Physical records

Physical intake forms and consultation notes are securely stored and accessible only to authorised staff.

Data stored outside Australia

Some services we use (e.g., Google Workspace, Stripe) may store data on servers outside Australia, including in the United States. We take reasonable steps to ensure that these providers store data on local servers where possible to comply with standards consistent with the APPs. By providing your information, you consent to its storage overseas.

Security measures

We implement measures including: secure password-protected access, two-factor authentication for digital systems where possible, locked storage for physical records, and regular audits and staff training on privacy compliance.

Disclosure of your information

We may disclose your information: to other healthcare providers involved in your care, only with your consent; to IT, telehealth, Cliniko and cloud service providers for operational purposes; to payment processors (Stripe) to facilitate payments; to third-party booking platforms; and when required or authorised by law. We do not sell or trade your information.

Telehealth privacy (Google Meet / Cliniko)

Telehealth sessions are delivered via Google Meet or Cliniko's telehealth service, which provide encrypted communication. You are responsible for ensuring your environment is private. Sessions are not recorded without your explicit consent. Telehealth data may be routed through overseas servers, although reasonable steps have been taken to utilise local servers; our practices comply with APP 8 requirements.

Cookies and website information

Our website may use minimal cookies for functionality and security (e.g., Cloudflare firewall and logging). Google Analytics or tracking tools are active only upon your specific acceptance of marketing cookies. You may disable cookies in your browser settings, but this may affect website functionality.

Access and correction of your information

You have the right to:

  • Request access to your personal or sensitive information
  • Request corrections to inaccurate, incomplete, or outdated information

Requests can be made by contacting lauren@nourishwithease.com.au. We may verify your identity before providing access. Access requests are free; an administrative fee may apply for providing physical copies.

Retention of records

Adult client records are retained for a minimum of 7 years. Minor client records are retained until the client turns 25 years old or 7 years after the last entry, whichever is later. After this period, records are securely destroyed or permanently de-identified.

Notifiable Data Breaches (NDB) scheme

If a data breach occurs that is likely to result in serious harm, we will:

  • Contain and assess the breach promptly
  • Notify affected individuals
  • Notify the Office of the Australian Information Commissioner (OAIC)
  • Provide guidance on steps to mitigate potential harm
